MakeAutomation ("we", "us", "our") operates the MakeAutomation Voice AI platform (the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service, including when accessed through the GoHighLevel marketplace integration.

We collect information that you provide directly and information generated through your use of the Service:

• Account Information: Business name, email address, and contact details provided during registration or GoHighLevel app installation.
• Call Data: Voice call recordings, transcripts, call duration, caller/callee phone numbers, timestamps, and AI-generated analytics (sentiment analysis, call summaries).
• Usage Data: Aggregated call minutes, call counts, and feature usage metrics for billing and analytics.
• Integration Data: GoHighLevel location IDs, OAuth tokens, and CRM data exchanged through the integration (contacts, conversation notes).
• Technical Data: IP addresses, browser type, and device information collected automatically for security and performance.

3. How We Use Your Information

• Provide, operate, and maintain the Voice AI agent platform.
• Process and transcribe voice calls using third-party speech services (Deepgram, Cartesia).
• Generate AI-powered analytics including sentiment analysis and call summaries.
• Sync call data to your GoHighLevel CRM (contacts and notes) when the integration is active.
• Calculate usage and generate billing reports.
• Improve the Service, troubleshoot issues, and provide customer support.

4. Third-Party Services

We use the following third-party services to operate the platform:

• Deepgram: Speech-to-text transcription.
• Cartesia: Text-to-speech synthesis.
• Telnyx: Telephony and phone number provisioning.
• GoHighLevel: CRM integration for syncing call data (when authorized by the user).
• Resend: Transactional email delivery for billing reports.

Each third-party provider processes data in accordance with their own privacy policies.

5. Data Retention

Call recordings and transcripts are retained for the duration of your active subscription. Usage records are retained for billing and audit purposes. Upon account termination or GoHighLevel app uninstallation, we deactivate your account and cease processing. You may request permanent deletion of your data by contacting us.

6. Data Security

We implement industry-standard security measures including encrypted data transmission (TLS), secure token storage, and access controls. OAuth tokens for third-party integrations are stored encrypted and refreshed automatically. However, no method of electronic transmission or storage is 100% secure.

7. Your Rights

You have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request deletion of your data.
• Withdraw consent for data processing (by uninstalling the app or contacting us).
• Export your call data and transcripts.

8. GoHighLevel Integration

When you install MakeAutomation Voice AI through the GoHighLevel marketplace, we access your GoHighLevel account data only within the scopes you authorize (contacts, conversations, location information). We do not access data beyond these scopes. You can revoke access at any time by uninstalling the app from your GoHighLevel sub-account.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the Service. Continued use of the Service after changes constitutes acceptance of the updated policy.
